Marketing Services Specialist

This position supports the PICA segment of our medical professional liability line of business, which provides professional liability coverage to dentists, podiatrists, and chiropractors.
This is a hybrid role.
Job Summary:
The Marketing Services Specialist plays a crucial role in the PICA Group Marketing Department by effectively executing programs and strategic initiatives aimed at enhancing brand visibility and supporting all sales and marketing efforts.
This position provides significant opportunities to cultivate essential skills in project management, leadership, communication, relationship building, and marketing strategy, all vital for achieving the objectives of the PICA Group Marketing Department.
Essential Duties and Responsibilities:
60% - Coordination/
Project Management Support:
Oversee a variety of large, strategic internal and external communications projects, coordinating the diverse skills and efforts of a talented team to ensure effective and efficient completion.
Analyze and report on key marketing campaigns, including emails, website performance, and social media engagement.
Assist in organizing residency and student programs, which includes sending materials, coordinating with speakers, and managing event logistics such as booking venues and arranging catering.
Support management in the project intake process, which involves routine assignment, record keeping, reporting, auditing for compliance, and creating monthly summaries of highlighted marketing projects for the Executive Team.
Manage the annual review and revision of marketing materials to ensure compliance with branding, content, and legal standards, including project status reviews and reporting for the team.
Coordinate speaking events by gathering bios, headshots, course descriptions, and speaker contracts.
This role will also assist in the collection, recording, and analysis of events, including webinars, live conferences, podcasts, and risk management programs with various partners.
Coordinate budgeting, speaker proposals, invoice processing, and accurate recording of speaker/vendor contracts.
Measure and coordinate events such as webinars, podcasts, and tradeshows.
Represent the department in building and maintaining strong collaborative relationships between PICA Group and a network of high-performing agent partners.
Assist in coordinating internal marketing campaigns by representing the department on various committees.
45% - Operations andAdministrative Support:
Coordinate calendar and travel arrangements for senior leadership.
Provide administrative support, meeting coordination, and expense reconciliation for department management or senior leadership as needed.
Oversee the creation, approval, and execution of all third-party contracts.
Assist in the annual development, management, and monitoring of the department's budget process, ensuring timely submission of invoices into our accounts payable system.
Coordinate event logistics, including booth setup, travel arrangements, and preparation of promotional materials. Collaborate with Risk Management, Business Development, and other internal teams to gather insights for effective events.
Monitor industry competitors and marketing news, conduct assigned market research projects, and submit reports to the team.
Secondary Responsibilities:
5% - Other marketing and project management duties as assigned by the department management team or senior leadership.
Qualifications:
A bachelor's degree is required, preferably in Marketing, Communications, or Business Administration.
A high school diploma or G.E.D. with a minimum of eight years of relevant experience is acceptable for candidates without a bachelor's degree.
Minimum of three years of project management experience and marketing operations is required.Highly organized with a strong attention to detail.
Proven relationship-building skills.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel.
Experience with Trello and HubSpot is a plus.

Salary Range: $47,000 - $79,103.00. The salary range displayed represents the entirety of the pay grade for this position.
Most candidates will start in the bottom half of the range.Factors that may be used to determine your actual salary include your specific skills, years of experience, location, and comparison to other team members already in this role.
