SUMMARY:
The role involves providing essential administrative support to the principal.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Other duties may be assigned:
  1. Maintain confidentiality regarding all records and school-related matters.
  2. Handle phone inquiries, take messages, and route calls appropriately.
  3. Assist students with various needs, including phone calls and school supplies.
  4. Manage school and facility calendars for events.
  5. Operate and maintain standard office equipment.
  6. Open and distribute incoming mail.
  7. Assist visitors by utilizing the Visitor Notification System in line with policy.
  8. Serve as a liaison to staff, students, and the public, including producing newsletters and other communications.
  9. Prepare, type, copy, and file reports, correspondence, and other documents.
  10. Maintain and update filing systems.
  11. Develop and keep an updated job-specific handbook.
  12. Assist in the enrollment and registration processes.
  13. Input purchase orders, process invoices, and monitor building accounts.
  14. Maintain daily attendance records for students.
  15. Support substitute teachers and orientate building substitutes.
  16. Manage the collection and disbursement of funds, including petty cash.
  17. Organize and stock office supplies and space.
  18. Assist with attendance and payroll submissions for staff.
  19. Support building events and activities.
  20. Input and maintain student information using district software.
  21. Coordinate with transportation for newly enrolled students.
  22. Request records for new students.

QUALIFICATION REQUIREMENTS:
To successfully perform this role, an individual must be able to execute each essential duty satisfactorily. The following requirements represent the knowledge, skills, and abilities needed:

EDUCATION and/or EXPERIENCE:
High school diploma or GED with one year of experience in a school secretary role.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules and procedure manuals. Proficient in writing routine reports and correspondence. Effective communication skills with parents, staff, and students.

MATHEMATICAL SKILLS:
Ability to perform basic arithmetic operations using whole numbers, fractions, and decimals.

REASONING ABILITY:
Ability to apply common sense to carry out detailed instructions and solve problems in standardized situations.

OTHER SKILLS and ABILITIES:
Ability to pass a typing test at 55 words per minute. Proficient in using personal computers and various software applications. Ability to build effective relationships with students, staff, and the community. Clear and concise communication skills, both orally and in writing.
