Key Responsibilities- Daily Tasks
- Ensure that custodial standards are maintained in the office, including restrooms and kitchen spaces.
- Receive and distribute packages, and assist with shipping and receiving.
- Interact with senior executive assistants, vendors, and contractors to ensure timely completion of repairs and maintenance tasks.
- Identify hazards and respond with immediate corrective action.
- Coordinate facility services through third-party vendors, including custodial and landscaping.
- Weekly Tasks
- Order, receive, store, and maintain office and facility supplies.
- Maintain the organization of facility spaces, including kitchen, supply closets, custodial, and maintenance closets.
- Coordinate maintenance, repairs, and upkeep of the facility.
- Maintain maintenance schedules with planned and executed repairs, and communicate to the Senior Executive Assistant in report form.
- Provide regular reports on facility responsibilities to the senior executive assistant.
- Monthly Tasks
- Observe and report any building needs to maintain a high standard of operations.
- Assist with safety standards for preparedness and planning.
- Maintain vendor relationships related to facility services.
- Perform regular building safety and security inspections to maintain facility equipment.
- Schedule, track, and maintain building inspections.
- Additional Responsibilities
- Be responsible for assessment and decisions related to facility needs, and repair and maintenance actions.
- Be responsible for all management of facility accounts and reportings.
- Perform additional responsibilities when required.
- 2+ years of experience in facility coordination, project management, administrative services, or a similar field.
- A self-motivated and proactive attitude with excellent attention to detail and a high sense of urgency and responsibility.
- Excellent verbal and written communication skills.
- The ability to work independently and as part of a team.
- A high degree of initiative, self-motivation, and the ability to motivate others.
- The ability to establish and maintain cooperative working relationships with team members and colleagues.
- Demonstrated ability to manage multiple tasks and prioritize competing demands.
- Experience and knowledge of building equipment maintenance, maintenance planning, and schedules.
- Experience working with vendors, contractors, and property management.
- Knowledge of general facility maintenance needs.
- Proficient in Google Workspace or similar software.
- Occasional availability for after-hours emergency or weekend needs in special circumstances.
- Maintain confidentiality of proprietary information.
- The ability to maintain a professional atmosphere in a fast-paced environment with numerous interactions and interruptions.
- Comfortable with office pets (cats, dogs).
- Experience with JIRA or other project management software.
- Extensive knowledge of office appliances and facility equipment.
- Experience in creating reporting and maintenance schedules.
- Experience bidding and overseeing contracts and agreements.
