Role Overview:

The Facilities Coordinator is tasked with overseeing the maintenance and upkeep of our facilities, ensuring a clean and safe environment for all team members. This role includes managing janitorial services, coordinating with external vendors, and supporting ongoing building projects.


Key Responsibilities:
  • Daily Duties:
    • Maintain custodial standards throughout the office, including restrooms and kitchen areas.
    • Handle package distribution and assist with shipping and receiving tasks.
    • Collaborate with the senior executive assistant, vendors, and contractors to ensure timely repairs and maintenance.
    • Identify hazards and implement immediate corrective actions.
    • Coordinate facility services with third-party vendors, including custodial and landscaping services.
  • Weekly Duties:
    • Order, receive, and manage office and facility supplies.
    • Organize facility spaces, including kitchens and supply closets.
    • Oversee maintenance and repairs of the facility.
    • Maintain and communicate maintenance schedules to the senior executive assistant.
  • Monthly Duties:
    • Conduct inspections to identify building needs and maintain operational standards.
    • Assist in safety preparedness and planning.
    • Manage vendor relationships related to facility services.
    • Perform regular safety and security inspections of the building.
    • Schedule and track building inspections and maintenance activities.

Qualifications:

The ideal candidate will possess:

  • A minimum of 2 years of experience in facility coordination, project management, or a related field.
  • A proactive attitude with strong attention to detail and a sense of urgency.
  • Excellent verbal and written communication skills.
  • The ability to work independently and collaboratively within a team.
  • Experience in managing multiple tasks and prioritizing effectively.
  • Knowledge of building maintenance and vendor management.
  • Proficiency in Google Workspace or similar software.
