Job Title: Estimating Coordinator

Job Summary:

The Estimating Coordinator plays a vital role in the estimating department, providing administrative support to ensure the successful execution of bids for multiple projects. This position requires a high level of organization, attention to detail, and effective communication skills to work collaboratively with estimators, safety, and marketing teams.

Key Responsibilities:

  • Bid Preparation: Process bid documents from agencies and owners to ensure accurate and timely bid submissions.
  • Documentation Management: Assemble, track, and prepare correspondence to ensure all documentation and communication is accurate and timely.
  • Team Collaboration: Work in a team environment to share, delegate, and help distribute the workload.
  • Customer Support: Navigate customer- and owner-specific websites for access to bid documents and submission.
  • Administrative Support: Assist with the printing of bid documents, including specifications and drawings, and perform various administrative office support functions to ensure daily operations run efficiently.
  • Database Management: Coordinate subcontractor databases for ongoing accuracy, providing estimators with a source of various trades to access for invite purposes.
  • Reporting and Analysis: Track the estimated value of each bid, final bid total submitted, fees, etc., for analysis of hit ratios and other reports showing trends.
  • Project Transition: Assist in the transition from estimating to project management when the quote process is successful.
  • Compliance: Follow ISO 9001 and 14001 requirements as dictated by leadership for a thorough flow of documentation and record-keeping.
  • Audit Support: Participate in the audit process to ensure files (electronic and paper) are being maintained accurately and thoroughly.

Requirements:

  • Education: Associate of Science in Mathematics degree (or equivalent) required.
  • Industry Knowledge: Knowledge of the Construction Industry is desired.
  • Communication Skills: Strong communication skills (verbal/written) and ability to work as a team member with multiple Estimators and Estimating Coordinators.
  • Technical Skills: Excel (advanced) required, Word (intermediate) required, Adobe Writer, Bluebeam, Pantera, and Outlook experience required.
