Position Title: Internal Meetings Coordinator

Location: Remote/Hybrid

Compensation: $53.69 per hour

Role Summary:

The Internal Meetings Coordinator plays a pivotal role within the Congress & Meeting Management (CMM) team, focusing on the execution of exceptional internal meetings for the Human Pharma + Animal Health division. This position is essential for fostering engagement, optimizing costs, enhancing attendee satisfaction, and achieving the strategic objectives set by meeting owners.

Key Responsibilities:
  • Implement internal meetings in accordance with established Standard Operating Procedures (SOPs) and guidelines.
  • Facilitate collaboration among internal stakeholders and external vendors, acting as the Lead Planner for high-priority meetings.
  • Maintain compliance with all relevant regulations and company policies, reporting any discrepancies to management.
  • Work closely with Meeting Owners to develop meeting content and structure.
  • Serve as a liaison between the CMM team and various departments, ensuring seamless communication and coordination.
  • Oversee on-site support during meetings to guarantee a smooth experience for all participants.
  • Leverage knowledge of meeting best practices, technology, and venue logistics to enhance meeting effectiveness.
  • Manage large-scale meeting budgets, identifying innovative cost-saving strategies.
  • Stay informed about regulations affecting healthcare provider participation in internal meetings.
  • Demonstrate adaptability and problem-solving skills in response to evolving business needs.
Qualifications:
  • Bachelor's degree required.
  • Minimum of 7 years of experience in internal meetings, preferably within the biotech or pharmaceutical sectors.
  • Proven track record in planning large-scale meetings with 200+ attendees.
  • Familiarity with virtual meeting platforms and applications.
  • Experience leading cross-functional project teams.
  • Strong negotiation skills and experience managing external vendors.
  • Excellent communication and interpersonal skills.
  • Ability to navigate complex situations with a customer-focused approach.
  • Demonstrated success in process improvement initiatives.
