Key Responsibilities:

  • Exciting opportunity for a Manager of Internal Meetings within a dynamic team.
  • This role offers a hybrid work model, requiring presence on-site for a few days each week.
  • The primary focus of this position is to ensure the delivery of exceptional internal meetings for the Human Pharma and Animal Health divisions.
  • Accountable for enhancing engagement, optimizing costs, ensuring a positive experience for attendees, and achieving the strategic objectives set by meeting owners.
  • Tasked with executing internal meetings in accordance with established Standard Operating Procedures (SOPs) and guidelines that facilitate coordination among various departments and external partners.
  • Responsible for proposing best practices for internal meetings through ongoing research and evaluation of previous meeting performance metrics.
  • Maintain a mindset of continuous improvement in meeting execution and share insights with the team.
  • Oversee the planning activities for assigned high-priority meetings, ensuring seamless collaboration between internal stakeholders and external vendors.
  • Conduct all business in compliance with relevant regulations and company policies.
  • Report any observed violations to senior management promptly.
  • Uphold high ethical and professional standards in all interactions to preserve the company’s reputation.
  • Understand the interdependencies within the current meeting management structure and align actions with strategic goals.
  • Collaborate with meeting owners to shape the content and structure of their internal gatherings.
  • Act as a liaison between the meeting management team and various functional groups, as well as external partners.
  • Engage with on-site support staff to ensure meetings run smoothly and meet the expectations of all participants.
  • Possess knowledge of meeting interdependencies, best practices, and relevant technology and venue considerations.
  • Experience in creating and managing budgets for large-scale meetings while identifying innovative cost-saving measures.
  • Familiarity with regulations impacting healthcare provider participation in internal meetings.
  • Demonstrate adaptability and problem-solving skills to respond to evolving business needs and changes in internal processes.
  • This role contributes to realizing the vision of the meeting management team for internal events.

Qualifications:

  • Bachelor's degree from an accredited institution is required.
  • Over seven years of experience in managing internal meetings.
  • Proven experience in planning large-scale meetings with 200 or more attendees.
  • Familiarity with virtual meeting platforms and applications.
  • Experience leading project teams with both internal and external resources.
  • Proficient in negotiating with and managing external vendors.
  • Knowledge of continuous process improvement with a track record of successful outcomes.
  • Adept at navigating complex and challenging situations to find effective solutions.
  • Strong problem-solving capabilities.
  • Excellent negotiation and conflict resolution skills.
  • Exceptional communication, persuasion, and facilitation abilities.
  • Willingness to travel as needed.
  • Required skills include outstanding organizational and communication capabilities.
