Duration: 6+ months

Overview:

The primary objective of this position within the Congress & Meeting Management (CMM) team is to provide exceptional internal meeting experiences for the Human Pharma + Animal Health division of Aequor Inc. This role is essential in fostering engagement, optimizing costs, enhancing attendee satisfaction, and ensuring the successful attainment of the meeting owner's strategic objectives.

Key Responsibilities:

  1. Oversee the execution of internal meetings in accordance with established Standard Operating Procedures (SOPs) and guidelines.
  2. Collaborate with various departments including Sourcing, Compliance, IT, and Finance, as well as external vendors, to ensure a seamless attendee experience.
  3. Recommend best practices for internal meetings based on thorough research and analysis of previous meeting performance metrics.
  4. Maintain a mindset of continuous improvement, sharing insights and successful strategies with the CMM team.
  5. Coordinate meeting planning activities among internal stakeholders and external partners as the Lead Planner for designated Tier 1 and 2 meetings.
  6. Adhere to all regulatory requirements and company policies while conducting business.
  7. Uphold high ethical standards and professionalism in all interactions to preserve the company’s reputation.
  8. Understand the interdependencies within the CMM framework and execute strategies accordingly.
  9. Work closely with Meeting Owners to develop the content and structure of their internal meetings.
  10. Act as a liaison between the CMM team and various functional groups (e.g., IT, Compliance, Legal) as well as external partners.
  11. Engage on-site support staff during meetings to ensure smooth operations and meet stakeholder expectations.
  12. Possess knowledge of meeting interdependencies, best practices, and relevant technology and venue considerations.
  13. Manage large-scale meeting budgets effectively while identifying innovative cost-saving measures.
  14. Stay informed about regulations affecting healthcare provider participation in internal meetings.
  15. Exhibit adaptability and problem-solving skills to respond to evolving business needs and changes in internal processes.

Qualifications:

  • Minimum of seven (7) years of experience in managing internal meetings.
  • Proven track record in planning large-scale meetings with over 200 attendees.
  • Familiarity with virtual meeting platforms and applications.
  • Experience leading cross-functional project teams.
  • Ability to manage multiple initiatives concurrently.
  • Strong negotiation skills and experience managing external vendors.
  • Demonstrated business acumen and sound judgment.
  • Effective collaboration skills with high emotional intelligence.
  • Knowledge of continuous process improvement methodologies.
  • Ability to navigate complex and challenging situations to find solutions.
  • Team-oriented approach with an entrepreneurial mindset.
  • Exceptional problem-solving capabilities.
  • Strong communication, persuasion, and facilitation skills.
  • Willingness to travel up to 50% of the time.

Education:

Bachelor's degree from an accredited institution is required.
