Job Overview

Position Summary:

The Assistant Property Manager plays a crucial role in supporting the Property Manager in overseeing daily operations and achieving the financial and operational objectives of the property.

Reporting Structure: Reports directly to the Property/General Manager.

Employment Status: Exempt (not eligible for overtime)

Key Responsibilities:

  • Collaborates with the property management team to optimize costs, enhance revenue, and adhere to budgetary guidelines.
  • Coordinates with office personnel and the accounting department to ensure timely collection and accurate posting of rent in the property management system.
  • Prepares all resident communications, including notifications for late payments.
  • Partners with legal counsel and the Property Manager to issue late notices as necessary.
  • Generates monthly reports on resident delinquencies and property accruals.
  • Conducts regular site inspections.
  • Facilitates the showing of vacant units and explains property regulations, ensuring all move-in/move-out documentation is accurately completed and approved.
  • Ensures accurate and timely entry of leasing data into the property management system.
  • Assists the management team in implementing a renewal program to maximize resident retention.
  • Collaborates with the Property Manager to recruit, train, and develop on-site staff in accordance with company policies.
  • Supports the Property Manager in employee evaluations and counseling as per company guidelines.
  • Works alongside the Property Manager to foster a proactive team environment aimed at achieving property goals.
  • Coordinates with the maintenance team to ensure that apartments, common areas, and grounds are maintained to property standards.
  • Conducts inspections of suites and common areas to ensure compliance with property standards.
  • Ensures adherence to company safety policies and procedures, including the completion of safety inspections and compliance with key control policies.
  • Completes necessary documentation for liability, workers' compensation, and property insurance claims, overseeing the resident and vendor insurance program.
  • Handles escalated service requests, ensuring that tenant issues are addressed in accordance with customer service standards.

Additional Qualifications:

  • Regular attendance is essential for this role.
  • Employees are expected to meet performance standards and comply with company policies as outlined in the Employee Handbook.
  • A minimum of 2 years of sales experience in retail, hospitality, or multi-family housing is preferred.
  • An undergraduate degree is preferred.
  • Proficiency in Microsoft Office and Excel is required.
  • Prior training in Fair Housing regulations is a plus.
  • Exceptional customer service skills and strong follow-up abilities are necessary.
  • Strong listening, verbal, and written communication skills are essential.
  • Must be responsive, courteous, reliable, energetic, and positive.
  • Ability to adapt to growth and change is important.
  • Physical requirements include the ability to lift up to 50 lbs, stand and walk for extended periods, and perform other physically demanding tasks as needed.
