Position Summary:
The Assistant Property Manager plays a vital role in supporting the Property Manager in overseeing daily operations and achieving the financial and operational objectives of the property.
Reporting Structure: Reports directly to the Property/General Manager.
Employment Status: Exempt (not eligible for overtime)
Key Responsibilities:
- Collaborates with the property management team to reduce costs, enhance revenue, and maintain budget compliance.
- Coordinates with office personnel and the accounting department to ensure timely rent collection and accurate posting in the property management system.
- Prepares all resident communications, including notices for late payments.
- Works alongside legal counsel and the Property Manager to manage late notices as necessary.
- Generates monthly reports on resident delinquencies and property accruals.
- Conducts regular site inspections.
- Facilitates property tours for prospective tenants and explains community rules and regulations. Ensures all move-in and move-out documentation is completed accurately and approved by the Property Manager.
- Ensures accurate and timely entry of leasing data in the property management system.
- Assists the management team in implementing the renewal program to maximize resident retention.
- Supports the Property Manager in recruiting, training, and developing on-site staff in accordance with company policies.
- Assists the Property Manager in evaluating and providing feedback to employees as required by company standards.
- Collaborates with the Property Manager to foster a cohesive team environment focused on achieving property goals.
- Partners with the Property Manager and maintenance team to ensure that apartments, common areas, and grounds are maintained to high standards.
- Conducts inspections of suites and common areas to ensure compliance with property standards.
- Works with the Property Manager to uphold company safety protocols and ensure all safety inspections are completed as mandated.
- Completes necessary documentation for liability, workers' compensation, and property insurance claims. Oversees the resident and vendor insurance program.
- Handles escalated service requests and collaborates with the property team to meet customer service expectations. Works with on-site staff to address tenant concerns.
Additional Qualifications:
- Regular attendance is essential for this role.
- Employees are expected to meet performance standards and adhere to company policies, including those outlined in the Employee Handbook.
- Minimum of 2 years of sales experience in retail, hospitality, or multi-family housing.
- Undergraduate degree is preferred.
- Proficient in Microsoft Office Suite and Excel.
- Prior training in Fair Housing regulations is a plus.
- Exceptional customer service skills and attention to detail are required.
- Strong listening, verbal, and written communication skills are essential.
- Must be responsive, courteous, reliable, energetic, and positive.
- Ability to adapt to growth and change is necessary.
- Physical ability to lift up to 50 lbs, stand and walk for extended periods, and perform other physically demanding tasks as required.
