Job Overview

Position Summary:

The Assistant Property Manager plays a crucial role in supporting the Property Manager with all operational activities on-site, focusing on achieving both financial and operational objectives for the property.

Reporting Structure: Reports directly to the Property/General Manager.

Employment Status: Exempt (not eligible for overtime)

Key Responsibilities:

  • Collaborates with the property management team to optimize expenses, enhance revenue, and maintain budgetary compliance.
  • Coordinates with office personnel and the accounting department to ensure timely rent collection and accurate posting in Yardi.
  • Oversees the preparation of all resident communications, including notices for late payments.
  • Works alongside legal counsel and the Property Manager to issue late notices as necessary.
  • Generates monthly reports on resident delinquencies and property accruals.
  • Conducts regular site inspections.
  • Facilitates viewings of vacant units and explains property policies and regulations. Ensures all move-in/move-out documentation is completed accurately and approved by the Property Manager.
  • Ensures that all leasing data, including move-in and move-out information, is entered correctly and promptly in Yardi.
  • Collaborates with the management team to implement the renewal program and aims to maximize resident renewals.
  • Assists the Property Manager in hiring, training, and developing on-site staff in accordance with company policies.
  • Supports the Property Manager in employee evaluations and counseling as required by company guidelines.
  • Partners with the Property Manager to foster a proactive team environment focused on achieving property goals.
  • Works with the Property Manager and maintenance team to ensure that apartments, common areas, and grounds are maintained to property standards.
  • Conducts inspections of suites and common areas to ensure compliance with property standards.
  • Collaborates with the Property Manager to uphold company safety standards and policies, ensuring all safety inspections are conducted as required.
  • Completes necessary paperwork for liability, workers' compensation, and property insurance claims, overseeing the resident and vendor insurance program.
  • Handles escalated service requests and collaborates with the property team to meet customer service expectations, ensuring tenant issues are addressed promptly.

Additional Qualifications:

  • Regular attendance is essential for this role.
  • Employees are expected to meet performance standards and adhere to company policies, rules, and procedures as outlined in the Employee Handbook.
  • A minimum of 2 years of sales experience in retail, hospitality, or multi-family housing is preferred.
  • An undergraduate degree is preferred.
  • Proficiency in Microsoft Office and Excel is required.
  • Prior training in Fair Housing regulations is preferred.
  • Exceptional customer service skills and strong follow-up abilities are essential.
  • Strong listening skills are necessary.
  • Excellent verbal and written communication skills are required.
  • Must be responsive, courteous, reliable, energetic, and positive.
  • Ability to adapt to growth and change is essential.
  • Physical requirements include the ability to lift up to 50 lbs, stand and walk for extended periods, and perform other physically demanding tasks as needed.
