Position Overview:

The role of the Procurement Specialist involves reporting to the Supply Chain Manager and is primarily responsible for acquiring chassis, tanks, van bodies, trailers, parts, and materials necessary for the assembly of petroleum tank trucks, trailers, and lube units. The incumbent will also be tasked with establishing and maintaining item data within the inventory management system.

Supervisory Responsibilities:

This position does not entail any direct supervisory duties at this time.

Key Responsibilities:

1. Purchase Order Management (30%):

  • Generate purchase orders for chassis, box vans, trailers, tank components, and materials, and distribute them to approved suppliers.
  • Manage ongoing purchase orders by modifying existing orders, creating change orders, and taking necessary actions to expedite, defer, or cancel orders.
  • Confirm vendor orders to ensure compliance with specifications such as pricing, quantity, and delivery timelines.
  • Monitor late deliveries and engage with suppliers to determine root causes and establish new delivery schedules.

2. Development of Specifications and Procurement of New Assets (20%):

  • Contribute to the creation and upkeep of the New Unit Production Schedule concerning chassis, tank, and trailer delivery timelines, ensuring alignment with specific asset orders.

3. Sourcing Unique Parts and Materials (10%):

  • Identify and source special-order parts and materials, including evaluating and vetting suppliers, assessing quality versus cost, and determining ordering parameters such as pricing and lead times.
  • Engage in vendor price negotiations and performance evaluations to cultivate strong supplier relationships.

4. Item Data Management (15%):

  • Establish parts and materials in the enterprise resource planning (ERP) system, including entering relevant information such as item pricing and order allocations.
  • Maintain accurate item data by regularly updating specifications, including pricing, within the ERP system.

5. Planning and Scheduling (15%):

  • Participate in the development and maintenance of the New Unit Production Schedule, focusing on chassis, van bodies, tank, and trailer delivery dates.

6. Invoicing Facilitation and MSO Acquisition (10%):

  • Assist in the invoicing process for chassis and trailer asset purchases by obtaining the Manufacturer's Statement of Origin (MSO).

Required Competencies:

  • Strong organizational capabilities.
  • Attention to detail.
  • Familiarity with MRP/ERP systems.
  • Proficient in reading, writing, speaking, and understanding English.
  • Able to balance competing priorities effectively.
  • Excellent written and verbal communication skills.
  • Self-motivated with the ability to perform tasks semi-autonomously.

Physical Requirements:

This position will be performed in an office setting, requiring sedentary physical demands with occasional exertion of force between 0 to 10 lbs.

Equipment and Software Utilization:

Utilization of office equipment, including telephones, computers, photocopiers, fax machines, and scanners, as well as software for word processing, spreadsheets, email, internet, and ERP/MRP applications.

Safety Compliance:

Adhere to policies outlined in the Safety Manual.

Employment Conditions:

Qualifications:

A Bachelor's degree in business, engineering, logistics, or a related field, or equivalent professional experience is required.
