Position Overview:

Phaxis, a prominent firm in Asset Management focusing on private wealth solutions, is seeking a seasoned Client Advisor to join our dynamic team.

This role is pivotal in nurturing and sustaining client relationships through proactive communication and the seamless delivery of services tailored to individuals, families, trusts, and foundations.

The Client Advisor serves as a crucial link between Senior Client Advisors and various internal service departments, including Tax and Financial Planning, Investments, Legacy Planning, Trust Administration, Alternative Asset Management, Philanthropic Advisory, Real Estate, and Insurance Advisory.


Key Responsibilities:

Client Engagement
Maintain regular communication with clients and their advisors, ensuring timely and comprehensive responses.
Attend client meetings, document discussions, and coordinate necessary follow-ups.
Supervise the preparation of client meeting materials and create customized reports as needed.
Accurately document client interactions and information in Salesforce.
Account Oversight
Manage account opening and closing processes, reviewing relevant documentation and transactions.
Familiarize yourself with client wills, trusts, and governing documents to ensure effective account administration.
Set up automated reminders and ensure follow-through on critical tasks.
Collaborate with internal fiduciary counsel to guarantee compliance with governing documents.
Prepare Annual Relationship Reviews and ensure adherence to all regulatory standards.
Investment Oversight
Assist the Senior Client Advisor in managing investment activities, including implementing investment strategies, rebalancing portfolios, executing trades, and monitoring asset allocation and performance.
Review daily internal reports and collaborate with the account team to address any issues, such as overdrafts.
Facilitate client requests for fund disbursements.
Conduct asset allocation simulation modeling.
Trust Management
Prepare initial and annual trust evaluations and requests for discretionary distributions from trusts and special investments.
Ensure timely distributions from trusts and foundations.
Coordinate annual unitrust payments and private foundation grants with the tax department.
Process charitable gifts and family contributions, preparing and sending Crummey letters as necessary.
Work with the tax department or external tax preparers on reporting gifts and utilizing GST exemptions for irrevocable trusts.
Generate reports for irrevocable insurance trusts, manage transfers as needed, and ensure payment of life insurance premiums.
Perform additional duties and responsibilities as assigned.

Qualifications:

A Bachelor's degree in a relevant field with 4-7 years of related experience is preferred.
Exceptional writing and presentation abilities.
Proven leadership and teamwork skills.
Strong organizational skills with the ability to manage multiple tasks accurately and within deadlines.
Series 7 and Series 63 licenses are desirable. CTFA, CFP, or CFA designations are advantageous.
Proficiency in Microsoft Office Suite - Excel, Outlook, PowerPoint, Word, and Salesforce is ideal.
