POSITION SUMMARY

The Patient Care Coordinator plays a vital role in the daily operations of the practice, ensuring a seamless experience for patients, doctors, and staff. This position is essential in establishing the practice as the go-to destination for comprehensive vision care within the community.

KEY RESPONSIBILITIES

  • Welcome patients promptly and courteously.
  • Answer phone calls in a friendly and professional manner.
  • Enhance patient satisfaction and optimize provider efficiency by managing appointment scheduling both in-person and via phone.
  • Keep the appointment schedule on track by notifying the provider of patient arrivals and managing service delivery timelines.
  • Conduct reminder calls to patients for appointment confirmations and notifications regarding order pickups.
  • Maintain accurate financial records, collect patient payments, and manage third-party claims efficiently.
  • Oversee office inventory and equipment, ensuring adequate supplies are available and coordinating with management for orders.
  • Safeguard patient confidentiality in compliance with HIPAA regulations.
  • Verify insurance eligibility according to patients' current coverage plans.
  • Ensure all office systems are functioning optimally.
  • Promote a safe and supportive working environment for all team members and patients.
  • Adhere to company policies and procedures, reporting any necessary changes.
  • Contribute to team objectives by completing related tasks as required.
  • Be available to work evenings and weekends as needed to support business operations.
  • Maintain regular attendance and comply with timekeeping requirements.
  • Uphold the company’s dress code and professional standards.
  • Perform additional administrative duties as assigned by management.

QUALIFICATIONS

  • High School diploma or equivalent.
  • Minimum of 2 years of experience in a healthcare office environment.
  • Exceptional customer service skills for both internal and external interactions.
  • Strong communication and listening abilities.
  • Proficient problem-solving skills.
  • Excellent organizational capabilities.

PREFERRED SKILLS

  • Familiarity with healthcare technology, including patient record systems and point-of-sale applications.
  • Basic understanding of vision services, products, and insurance plans.
  • Strong interpersonal skills to foster positive relationships.
