Position Overview: The City is seeking to fill a full-time vacancy for a Clerical Specialist for Recreation Programs within the Recreation Department. This role represents the advanced journey level in the office support series.

Incumbents will undertake a variety of responsibilities ranging from general clerical tasks to administrative support, including managing the daily components of the program.

This position is distinguished from the Administrative Clerk role by the necessity of possessing detailed knowledge of specific programs.

The Administrative Support Specialist will spend considerable time performing general clerical support duties and is expected to process information on a wide array of operational or organizational matters.

This role serves as the primary representative for the Recreation Department.


Key Responsibilities:

- Assist the public via telephone or in person; provide comprehensive information on complex departmental policies and procedures, which may require interpretation and application related to the registration or permit process.

- Apply departmental policies to determine public eligibility for classes or permits; issue permits and forms; collect and process fees.

- Manage daily program administration and clerical support for specific operational activities such as recreation fee classes and special events.

- Prepare, proofread, and process various documents including correspondence, memos, and statistical charts from rough drafts or verbal instructions.

- Research, compile, and summarize information; prepare original correspondence, memos, and reports; maintain and update departmental databases.

- Conduct a variety of clerical tasks including maintaining accurate records, verifying information accuracy, researching discrepancies, and entering data into a computer system.

- Monitor and order office supplies, prepare and track purchase requisitions, and manage vendor invoices.


Knowledge Required:
- Understanding of detailed departmental and city-wide policies and procedures.
- Proficiency in computer applications, including word processing and database management.
- Skills in business letter writing and English grammar.
- Familiarity with modern office practices and equipment.

Skills and Abilities:

- Ability to process information on various operational or city-wide issues requiring extensive knowledge.

- Take initiative and exercise sound judgment with minimal supervision.
- Compile detailed operational reports and prepare written documentation as needed.
- Ensure adherence to policies and procedures in daily operations.
- Communicate effectively in both oral and written forms.

Experience:

- Two years of experience in a role comparable to an Administrative Clerk with the City, or three years of office support or secretarial experience. Experience in public interaction in recreational settings is highly desirable.


Education:
- Equivalent to the twelfth grade, including or supplemented by business, computer, or related courses.
