What's The Role?

The City is looking to fill a vacancy in the Recreation Department for a full-time Recreation Administrative Coordinator. This role represents the advanced journey level in the office support series. Incumbents will undertake a wide array of responsibilities from general clerical tasks to administrative support duties, including managing the daily components of various programs. This position is characterized by the necessity of possessing detailed knowledge of specific programs. The Recreation Administrative Coordinator will primarily engage in general clerical support duties and is expected to handle information across a broad spectrum of operational or organizational matters. This role serves as the front-line representative for the Recreation Department.

Receives general supervision from management, professional, or technical staff. May provide guidance to other clerical employees or volunteer staff.

ESSENTIAL FUNCTIONS (DUTIES)

Essential responsibilities and duties may include, but are not limited to, the following:

Essential Functions:
  • Assist the public over the telephone or in person; provide detailed information on complex departmental policies and procedures, which may require interpretation and explanation.
  • Apply departmental policies and procedures in determining eligibility for various classes or permits; issue permits and forms; collect and process appropriate fees.
  • Perform daily program administration and clerical support for specific operational activities such as recreation fee classes and special events.
  • Word process, proofread, and process a variety of documents including general correspondence, memos, and statistical charts.
  • Research, compile, and summarize a variety of information; prepare original correspondence, memos, and reports; maintain and update departmental databases.
  • Conduct a wide variety of clerical work including maintaining accurate records, verifying information, and inputting data into a computer system.
  • Research and compile information for statistical and financial reports, maintain statistical records, and check and tabulate data.
  • Monitor and order office supplies, prepare and process purchase requisitions, and manage vendor invoices.
QUALIFICATIONS

A typical way to obtain the knowledge and abilities would be:

Knowledge of:
  • Interpretation of detailed department policies and procedures.
  • Computer applications, including word processing and database usage.
  • Business letter writing.
  • English usage, spelling, grammar, and punctuation.
  • Modern office practices, procedures, methods, and equipment.
Ability to:
  • Process information on various operational program issues requiring extensive knowledge.
  • Take initiative, exercise discretion, and sound judgment.
  • Compile complex operational reports and prepare written documentation as required.
  • Coordinate daily operational activities ensuring adherence to procedures and policies.
  • Interpret, apply, and explain relevant policies and procedures.
  • Perform general clerical work including record maintenance and report compilation.
  • Communicate effectively, both orally and in writing.
Experience:
Two years of experience performing duties comparable to those of an Administrative Clerk or three years of office support or secretarial experience. Experience in public interaction in recreational or similar settings is highly desirable.

Education:
Equivalent to the twelfth grade, including or supplemented by business, computer, or related courses.
