Job Summary

We are seeking a highly organized and detail-oriented Office and Association Administrator to join our team at Perfect Search. As a key member of our administrative team, you will be responsible for providing exceptional support to our association members and stakeholders.

Responsibilities
  • Provide administrative support to the association, including mail sorting, distribution, and management of association checks.
  • Manage and generate invoices for monthly client billing, including AP/AR and support to the Accountant as needed.
  • Perform a wide range of administrative duties, including data entry, reporting, and correspondence.
  • Serve as the first point of contact for association members and stakeholders, responding to emails and phone calls in a timely and professional manner.
  • Support membership through various correspondence and reporting, including credentialing and tracking continuing education units.
  • Manage registration for association conferences and events, including processing registrations, name badges, and post-event wrap-up.
  • Compile newsletter articles and create content in AMS and Mailchimp.
  • Maintain an online calendar of events and generate quarterly website analytics reports.
  • Draft and distribute emails via Constant Contact and update the website through association management software (AMS).
  • Manage social media updates (content provided).
Requirements
  • 5 years of administrative experience (preferred).
  • Associates degree; Bachelor's degree preferred.
  • Two or more years of QuickBooks Online use and experience (non-profit application a plus).
  • Association management software and non-profit experience a plus.
  • Travel 2-3 times a year for 4-5 days at a time required.
