Administrative Office Coordinator

Position Summary:
We are currently seeking a dedicated Business Office Assistant to support our operations at Greenwood Place.
Key Responsibilities:
- Prepare and manage essential documentation for resident transitions, including move-ins, move-outs, and transfers.
- Oversee cash management processes, ensuring accurate deposit and posting of cash receipts while implementing controls over petty cash.
- Maintain daily financial records for operational accounts and perform monthly bank reconciliations. Supervise the accounts payable process.
- Ensure that departmental expenses are accurately assigned and documented as per management requirements.
- Coordinate payroll processing and employee benefits, along with managing insurance payments and tax reporting.
- Prepare and record journal entries, maintaining appropriate schedules for Balance Sheet accounts.
- Review and distribute monthly financial reports to relevant stakeholders.
- Compile management reports as needed.
- Maintain comprehensive files for team members, residents, vendors, and financial records in compliance with established policies.
- Engage with residents regarding billing and collection inquiries.
- Oversee the preparation and maintenance of resident documentation and reports.
- Manage the Human Resources functions within the community, ensuring a welcoming environment for new hires.
- Supervise payroll and employee documentation, including onboarding and changes.
- Utilize the applicant tracking system (ATS) to manage open positions and coordinate scheduling for team members.
- Establish and oversee resident accounts in the Health Center, ensuring compliance with regulatory guidelines.
- Perform additional duties as assigned.
Qualifications:
- Bachelor's degree in Accounting with at least one year of relevant experience, or
- Associate's degree in Accounting with two to three years of related experience.
