Office Administrator:

About Us:
Metasys Technologies, Inc. is looking for a meticulous and highly organized Office Administrator to enhance our team.

This position will facilitate our office functions and guarantee the efficient execution of daily operations, encompassing data management, administrative responsibilities, and office organization.


Key Responsibilities:

Data Management:
Input data from diverse sources into Salesforce and other information systems.
Update current data and confirm its accuracy by cross-referencing with source documents.
Retrieve information from databases or electronic files as needed.
Conduct regular backups to ensure data integrity.

Office Administration:
Safeguard the confidentiality of sensitive information and manage highly confidential documents with care.
Handle phone communications and correspondence (emails, letters, packages).
Provide comprehensive administrative support including filing, scanning, photocopying, and scheduling appointments.
Organize and oversee office supplies while maintaining records of company assets, equipment, and inventory.
Manage and refresh databases with a high degree of accuracy.
Assist in daily facilities operations and oversee facility software applications.

Project Organization and Support:
Assist with office closure activities, such as packing items and relocating office supplies.
Aid in the planning and execution of company meetings and events, including setup and cleanup.
Collaborate with facilities and other departments on office closure and opening protocols.
Play a vital role in coordinating vendor services for facility management.

Reporting and Presentations:
Submit timely reports and prepare project updates as required.
Maintain a record of all company equipment, software, furniture, and fixtures, including depreciation schedules and asset removal.

Customer and Colleague Support:
Deliver customer support via phone, email, or in-person interactions.
Assist colleagues as needed and contribute to a positive office atmosphere.

Qualifications:
Demonstrated experience in office administration or a related field.
Proficiency in Salesforce and other data management platforms.
Strong attention to detail and a high level of accuracy in data entry.
Excellent organizational and time-management abilities.
Capability to handle sensitive and confidential information with care.
Strong communication skills and ability to manage correspondence effectively.
Experience with facilities management and office supply coordination is advantageous.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Education:
High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or a related field preferred.
