Job Overview

Position Summary:

The Financial Operations Manager plays a crucial role in supporting the mission of the educational institutions by collaborating with the Principal on fiscal responsibilities. This includes maintaining accurate financial records, assisting in budget preparation, providing support for human resource inquiries, compiling necessary reports for the Principal and various committees, and offering financial advice to the Principal. This role is under the supervision of the Director of School Finance at the Central Office.

Key Responsibilities:

  • Uphold the principles of Catholic education and the institution's mission.
  • Exemplify Gospel values in alignment with the teachings of the Catholic Church.
  • Adhere to the Code of Conduct and the policies of the institution and Diocese.
  • Maintain confidentiality regarding sensitive school information.
  • Prepare monthly financial reports for various operations, including Endowments and parent associations.
  • Manage accounts payable and receivable processes.
  • Reconcile balance sheet accounts and perform regular financial close-outs.
  • Conduct budget analysis and keep the Principal informed of financial trends.
  • Administer the tuition and billing system effectively.
  • Oversee tuition assistance programs for students.
  • Facilitate effective communication within the school community.
  • Meet professional development standards as outlined by the Diocese.
  • Demonstrate professionalism in all interactions and work habits.
  • Maintain a schedule that ensures availability for school-related matters.
  • Serve as a resource for employees regarding HR processes.
  • Supervise payroll processing on a bi-monthly basis.
  • Assist the Principal in formulating the annual budget.
  • Manage funds according to the Principal's directives.
  • Organize and maintain financial documentation systematically.
  • Complete additional tasks as assigned.

Working Conditions:

  • This position operates in a standard office environment, with potential stress due to evolving business needs and tight deadlines.
  • Requires prolonged periods of sitting and computer work.
  • Involves significant telephone communication for customer service and problem resolution.
  • Requires frequent data entry, necessitating repetitive hand movements.
  • May require lifting up to 35 pounds independently and up to 60 pounds with assistance.

Travel Requirements:

Occasional travel may be necessary to various educational institutions.

Preferred Qualifications:

  • Bachelor's degree or equivalent experience (4-5 years).
  • Experience in a Catholic Church Administrative Office is advantageous.
  • 2-3 years of experience in fiscal planning, management, and payroll.
  • Familiarity with Sage Intact is preferred.
  • Prior experience with ADP Workforce Now is beneficial.

Knowledge and Skills:

  • Proficient in Microsoft Office, particularly Excel and Word.
  • Strong written and verbal communication skills.
  • Analytical skills with a focus on customer service and multitasking.
  • Active participation in a Roman Catholic parish with knowledge of Church organizations.
  • Ability to manage technology requirements, including personal computers and network servers.
