ROLE SUMMARY

The Invoicing Coordinator plays a crucial role in managing billing processes, which includes verifying documentation, processing invoices, and examining unbilled shipments to ensure accurate and timely billing. This position involves addressing customer inquiries and concerns, fostering a positive and respectful atmosphere among colleagues and clients.

KEY RESPONSIBILITIES:

  • Leverage Excel to compile and distribute weekly billing statements to clients.
  • Utilize the TMW system to assess electronic records of driver documentation, ensuring alignment with load specifications.
  • Execute invoice processing in TMW, confirming accuracy based on client agreements and established billing protocols, and dispatch invoices through the appropriate channels (mail, email, uploads, etc.) as per client preferences.
  • Investigate unbilled shipments, identify reasons for billing delays, and resolve issues through communication with clients, drivers, and shippers to facilitate billing.
  • Manage and track invoices and any rejections on client web platforms.
  • Respond to phone inquiries from clients and colleagues to resolve billing-related issues.
  • Maintain regular and predictable attendance.

ADDITIONAL RESPONSIBILITIES:

  • Perform other duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High School Diploma or equivalent.
  • Proficient in Microsoft Excel, including Pivot Tables and VLookups.

PREFERRED QUALIFICATIONS:

  • Experience with Microsoft Great Plains.
  • Familiarity with TMW software.
  • Background in the logistics sector.
  • Proficient in Microsoft Office Suite.
