Key Responsibilities:

  • Coordinate work schedules in collaboration with the Service Manager.
  • Promptly respond to and manage email communications.
  • Assist the Service Manager with monthly financial reporting.
  • Oversee project documentation and photography from inception to completion.
  • Organize and maintain job folders in SharePoint.
  • Develop and sustain vendor relationships.
  • Manage subcontractors and material logistics.
  • Support various operational functions within the Service Department as required.

Financial Oversight:

  • Accounts Receivable:
    • Generate and distribute invoices.
    • Monitor and follow up on outstanding payments.
    • Communicate with clients regarding overdue accounts.
    • Reconcile accounts and address discrepancies.
    • Prepare regular reports on accounts receivable.
    • Deliver exceptional customer service.
  • Accounts Payable:
    • Review and process vendor invoices.
    • Prepare accounts payable reports.
    • Assist with both internal and external audits.
    • Identify opportunities for process improvements.
    • Manage purchasing and onboarding of new vendors.

Qualifications:

  • Demonstrated accounting experience, ideally within the construction sector.
  • Positive demeanor, team-oriented, and a natural leader.
  • Strong work ethic with a commitment to high standards.
  • Excellent communication and interpersonal skills.
  • Proficient in office software and project management applications.
  • Outstanding organizational and time-management abilities.
  • Meticulous attention to detail and accuracy.
  • Able to work independently as well as collaboratively.
  • Bachelor's degree in business administration, project management, or a related field is preferred but not mandatory.

Work Environment and Physical Requirements:

  • Regularly required to communicate verbally and listen attentively.
  • Prolonged periods of sitting at a desk and using a computer.
  • Ability to lift up to 15 pounds as needed.
