Job Summary

The Administrative Assistant will play a vital role in supporting our day-to-day operations, client interactions, and administrative functions. The ideal candidate must have excellent computer, organizational, and communication skills. This role involves a mix of in-office duties and periodic remote work at management's discretion.

Key Responsibilities
  • Provide general administrative support to the office, ensuring a secure and welcoming environment.
  • Interact professionally with clients via phone, email, and in person, maintaining a high level of professionalism.
  • Answer phone calls, respond to client inquiries, and schedule appointments in a timely and efficient manner.
  • Manage the copy and supply room, printing and mailing client documents as needed.
  • Create, manage, and maintain reports for client presentations, utilizing data tracking and reporting skills.
  • Build and maintain basic Excel spreadsheets for data tracking and reporting, ensuring accuracy and up-to-date information.
  • Maintain and manage a file-scanning database, ensuring all client and firm records are accurate and up-to-date.
  • Assist with client onboarding and ongoing client information changes, ensuring seamless transitions.
  • Perform other office-related tasks as required, demonstrating flexibility and adaptability.
Qualifications
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and general computer skills, with the ability to learn database management and scanning software.
  • Strong organizational skills and attention to detail, with the ability to multitask and manage time efficiently.
  • Excellent verbal and written communication skills, with the ability to interact with clients and maintain professionalism.
  • Ability to work independently and remotely, as needed, with a high level of self-motivation and discipline.
  • Experience in the financial services industry is a plus, but not required.
