Position Summary:
The Office Manager is essential in facilitating the effective and efficient functioning of the school's administrative operations. This role involves overseeing the front office, supporting the administrative team, and fostering a welcoming atmosphere for students, families, staff, and visitors.
Key Responsibilities:
- Administrative Duties:
Oversee daily administrative functions, including managing phone calls, emails, and visitor interactions to uphold a positive and professional image. - Organize and maintain files, records, and documents, ensuring confidentiality and adherence to relevant policies and regulations.
- Supervise and coordinate overall administrative activities, assisting with scheduling appointments, meetings, and events for staff and parents.
- Manage the procurement and inventory of office supplies, equipment, and materials as required.
- Oversee the maintenance and organization of office spaces and equipment, ensuring proper layout and cleanliness.
- Assist the Operations Team with transportation logistics, including communicating daily updates and managing bus records.
- Participate in special projects as needed.
Student and Family Engagement:
Welcome and assist students, parents, and visitors with a courteous and professional demeanor. Maintain student attendance records to ensure accurate daily tracking and manage student information related to enrollment and withdrawal processes. Support school communications to parents, including newsletters and announcements.
Financial Management:
Assist in managing the school's budget and financial transactions, including processing student payments and maintaining accurate financial records. Handle purchase orders, invoices, and reimbursements as necessary, and aid in preparing financial reports for audits and compliance.
Health and Safety Oversight:
Support the school's health and safety protocols by maintaining records of student health information and emergency contacts. Collaborate with school nurses and emergency personnel as required.
Qualifications:
High school diploma or equivalent required; Bachelor's degree preferred. A minimum of 3 years of experience in office management, school administration, or a related field is highly desirable. Strong organizational and multitasking abilities, excellent communication and interpersonal skills, and proficiency in Microsoft Office and relevant software are essential. Candidates must demonstrate the ability to maintain confidentiality and handle sensitive information discreetly. Successful completion of State and Federal Criminal Background Check is required. The physical demands described are representative of those that must be met by an employee to successfully perform the essential functions of this role.
