POSITION SUMMARY
We are seeking a diligent Administrative Coordinator to undertake a range of administrative and clerical responsibilities. The role involves supporting our management team and staff, assisting with daily office operations, and overseeing general administrative functions.
KEY RESPONSIBILITIES
The Administrative Coordinator's duties encompass arranging travel and meetings, compiling reports, and maintaining organized filing systems. The ideal candidate will possess outstanding verbal and written communication skills and be adept at organizing tasks using tools such as MS Excel and various office equipment. Previous experience as a Secretary or Executive Administrative Assistant, along with familiarity in our field, is highly desirable.
Ultimately, a successful Administrative Coordinator will ensure the seamless and efficient operation of our office on a daily basis.
Core Duties Include:
- Responding to and directing incoming phone calls
- Coordinating and scheduling appointments
- Planning meetings and documenting detailed minutes
- Drafting and distributing emails, memos, letters, faxes, and forms
- Assisting in the preparation of regular reports
- Establishing and maintaining a filing system
- Updating and managing office policies and procedures
- Ordering office supplies and exploring new suppliers
- Maintaining contact lists
- Arranging travel logistics
- Submitting and reconciling expense reports
- Providing general assistance to visitors
- Serving as the point of contact for both internal and external clients
- Collaborating with executive and senior administrative assistants to address requests and inquiries from senior management
Qualifications and Skills Required:
- Demonstrated experience as an Administrative Assistant, Virtual Assistant, or Office Administrator
- Familiarity with office management systems and procedures
- Proficient in using office equipment, including printers and fax machines
- Expertise in MS Office, particularly MS Excel and MS PowerPoint
- Exceptional time management abilities and the capacity to prioritize tasks effectively
- Attention to detail and strong problem-solving capabilities
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to handle multiple tasks
- High School diploma; additional qualifications as an Administrative Assistant or Secretary are advantageous
