Job Description

Job Summary: We are seeking a highly skilled Benefits and Leave Administrator to join our team at NY CREATES. The successful candidate will be responsible for managing and administering our employee benefits programs, ensuring compliance with applicable laws and regulations, and providing exceptional customer service to our staff.

Key Responsibilities:

  • Benefits Administration: Oversee and assist with providing employees with relevant information regarding eligibility requirements, enrollment deadlines, and qualifying event changes.
  • Benefits Processing: Responsible for processing enrollments in various systems, including health insurance, vision care, dental plan, Rx coverage, retirement plans, disability programs, flexible spending programs, and other benefits offered by the organization.
  • Benefits Reporting: Timely review of benefits reports to detect and resolve any discrepancies, ensuring compliance with RF benefits policies and procedures, plan documents, contracts, government regulations (i.e. HIPAA, COBRA, ACA, ADA, etc.).
  • Leave Coordination: Oversee and assist with coordinating leaves, including FMLA, disability, NYS PFL, RF Paid Parental Leave, worker's compensation, childcare, and personal leaves, as well as LOA requests.
  • Leave Paperwork: Provide applicable leave paperwork to employees specific to their leave request.
  • Compliance: Ensure compliance with applicable state and federal laws, such as HIPAA, FMLA, NYS Disability, Workers' Compensation, and ADA, and maintain a log of approved leaves.
  • Accident Reporting: Collect and file accident reports with RF's worker's compensation carrier in a timely manner, review, and follow-up on claims, and maintain OSHA logs.
  • Reasonable Accommodations: Track requests for reasonable accommodations and review with supervisors.
  • Policies and Procedures: Apply policies and procedures based on best practices, changes in laws, regulations, and policies.
  • Timesheets and Reports: Complete bi-weekly timesheets and exception reports for all employees out on approved leave in a timely manner.
  • Leave Forms: Ensure all leave forms are up to date for processing and submitted to payroll on a regular basis to ensure employees are paid accurately.
  • Additional Responsibilities: Assist with other various benefit programs, such as tuition reimbursement, Virgin Pulse, Flu Shot Clinics, Wellness Fairs, etc.
  • Customer Service: Enhance job satisfaction by resolving issues promptly, knowing when to involve upper management, and ensuring compliance regulations are met.

Requirements:

  • Education: Associate degree in human resources management, communication, or a related field from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization, or equivalent experience.
  • Experience: Minimum of two years of employee benefits and medical leave experience, demonstrated knowledge of the principles and practices of personnel administration, demonstrated proficiency using Microsoft Office, and excellent oral and written communication skills.

Preferred Requirements:

  • Education: Bachelor's degree in human resources management or a related field from a college or university accredited by the US Department of Education or an internationally recognized accrediting organization, or equivalent experience.
  • Software Proficiency: Proficiency with Oracle software application, knowledge of NYS PFL, and FMLA.
