Position Overview:

The Administrative Support Specialist will act as the primary administrative support for the Associate Commissioner of the NYS Department of Health/Director, Office of Minority Health and Health Disparities Prevention. The individual in this role will manage and coordinate the Associate Commissioner's calendar and meeting schedule, ensuring a high level of confidentiality; arrange travel logistics; assist in gathering relevant data for inquiries; screen phone calls, directing them to appropriate personnel and addressing basic inquiries; aid in the preparation of reports and presentation materials; help maintain current internal OMH-HDP policy/procedure documents; organize and coordinate meeting logistics and materials, compiling and arranging background information; attend meetings and conferences as required; create, maintain, and update databases and tracking systems for OMH-HDP activities; and perform other related duties as assigned.

Minimum Qualifications:
Applicants must possess a Bachelor's degree in a relevant field; OR an Associate's degree in a related field accompanied by two years of general office, secretarial, or administrative experience; OR four years of such experience.

Preferred Qualifications:
At least two years of experience in compiling, editing, and formatting reports; developing and maintaining task tracking tools; documenting and communicating office procedures; taking meeting minutes that encompass technical or healthcare content; experience in an executive and/or state government office; proficiency with Microsoft Outlook, electronic calendars, Word, Excel, and PowerPoint; experience coordinating meetings, conferences, or other forums. Strong organizational, writing, and editing skills are essential.

Conditions of Employment:
This is a grant-funded position. Compliance with funding requirements such as time and effort reporting, grant deliverables, and contract deliverables is mandatory.

Applicants must have valid and unrestricted authorization to work in the U.S. Visa sponsorship is not available for this position.

Travel may be required, up to 10% of the time.

The incumbent must report to the official work location and reside within commuting distance. Telecommuting options are available.
