Position Overview

Role: Bilingual Administrative Assistant (Spanish Required)

This position reports directly to the Property Manager and is essential in providing support to the Property Manager, Board Members, and unit owners.

Key Responsibilities:

  • Manage accounts payable coding and accounts receivable collections.
  • Prepare rental agreements and welcome packages for new residents.
  • Facilitate the approval process for Notices of Commencement and Rights of First Refusal for property sales.
  • Program access key fobs for residents.
  • Process checks related to security deposits and reservation of moving services.
  • Engage with vendors, contractors, and service providers as necessary.
  • Communicate with potential buyers and tenants regarding inquiries.
  • Review and prepare sales and leasing applications for Board evaluation.
  • Address resident inquiries related to accounting, special assessments, and account ledgers.
  • Coordinate with Security and Maintenance as required.
  • Update property management software to reflect changes in resident information.
  • Communicate with vendors to arrange necessary services.
  • Amend documents as per requests.
  • Provide assistance to the Assistant Property Manager and Property Manager as needed.
  • Prepare keys for pest control services on a weekly basis.
  • Orient new residents regarding property rules and procedures.
  • Enforce regulations according to the Violation Standard Operating Procedure.
  • Perform additional duties as assigned by Management.

Qualifications:

  • Experience in administrative roles within residential condominium management is preferred.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite, particularly Outlook, Excel, and Word.
  • Familiarity with Yardi, Buildinglink, and Avid software is advantageous.
  • Licensure as a Community Association Manager (LCAM) is preferred but not mandatory.
