Job Overview

SUMMARY:

The Administrative Coordinator for Program Services warmly welcomes and assists clients and visitors, identifying their needs and directing them to the appropriate personnel or departments. This role encompasses a variety of clerical duties and client support tasks, including issuing passes, verification letters, conducting pre-assessments and initial evaluations, managing mail, filing, faxing, copying, scheduling appointments, ordering supplies, and overseeing inventory.

KEY RESPONSIBILITIES:

  • Professionally handle incoming phone calls and accurately relay messages. Verify appointment schedules and guide guests to the correct office or department.
  • Efficiently sort, distribute, and manage incoming mail.
  • Oversee petty cash management and distribute transportation tickets. Document departmental activities and maintain weekly and monthly calendars. Accurately type various forms, announcements, memos, and minutes, ensuring error-free distribution.
  • Assist in organizing charts, forms, and records by sorting items in alphanumeric order.
  • Maintain an inventory of office supplies and distribute them according to departmental guidelines.
  • Conduct pre-assessments with new clients, focusing on their immediate needs prior to case assignment.
  • Perform initial assessments for new cases, uploading necessary documents such as identification and birth certificates before case assignment.
  • Assist walk-in clients with requests, including work passes, late passes, and transportation cards.
  • Prepare shelter verification letters for clients to facilitate school enrollment for their children by coordinating with external agencies.
  • Maintain organized closed case files in preparation for audits.
  • Carry out additional tasks or assignments as required.

QUALIFICATIONS:

  • Education: High School Diploma or GED, or equivalent experience.
  • Experience: A minimum of two (2) years of relevant experience as an Administrative Assistant.
