Position Overview:

The Medical Reception Coordinator serves as the initial point of contact for patients within our organization, acting as a patient advocate by delivering outstanding customer service. This role encompasses checking patients in and out of the clinic while providing essential administrative support. Building strong relationships with patients and ensuring their health is prioritized are key responsibilities of this position.

Key Responsibilities:

  • Engage with patients and visitors in a courteous and friendly manner.
  • Manage new patient registrations, check-ins, and check-outs efficiently.
  • Answer phone calls professionally, taking detailed and accurate messages.
  • Organize and maintain the Provider's schedule by scheduling, rescheduling, and confirming patient appointments.
  • Verify patient demographic information and collect necessary insurance details.
  • Process insurance verifications and collect copays and outstanding balances prior to visits.
  • Ensure accuracy by asking patients to confirm demographic information during subsequent visits.
  • Scan essential documents into the Electronic Medical Record (EMR) system.
  • Monitor fax communications, attaching documents to patient charts and assigning them to the appropriate personnel.
  • Restock office supplies and maintain an inventory log as needed.
  • Keep the front office area organized and tidy.
  • Safeguard the confidentiality of patients' personal information and medical records.
  • Participate in daily/weekly meetings to discuss office operations and necessary changes.
  • Administer customer service surveys during patient check-out and escalate issues for immediate resolution as needed.
  • Perform other duties as assigned by management.
Qualifications:

  • High School Diploma, GED, or equivalent combination of education and experience.
  • A minimum of 1 year of experience in a medical clinic or customer service environment is preferred.
  • Exceptional communication, time management, and organizational skills.
  • Ability to interact professionally with patients, employees, and other individuals.
  • Strong problem-solving mindset focused on patient satisfaction and team objectives.
  • Familiarity with medical terminology, services, and policies.
  • Ability to remain calm in busy or stressful situations.
  • Proficient in Microsoft Office Suite and capable of typing at least 40 WPM.
  • Detail-oriented with strong listening skills.
  • Ability to work independently and collaboratively within a team.
  • Knowledge of HIPAA regulations and EMR systems is a plus.
Working Conditions:

General office environment with moderate noise levels.

Physical Demands:

This role requires standing, walking, sitting, and using hands for various tasks. The employee may occasionally lift and move up to 15 pounds. Specific vision abilities required include close vision and the ability to adjust focus.
