Position Summary:

We are in search of an Executive Assistant to the CEO who will manage both personal and professional responsibilities, allowing the CEO to concentrate on steering the organization.

Ideal Candidate:

The successful candidate will be a meticulous problem solver, motivated by assisting others, and capable of taking initiative. You will excel in creating order and efficiency, thriving in high-pressure situations. Your communication skills will enable you to understand and collaborate effectively with various stakeholders.

Key Responsibilities:

  • Handle personal errands such as grocery shopping, dry cleaning, and other miscellaneous tasks.
  • Organize travel arrangements for both personal and business purposes, including flights and accommodations.
  • Oversee the inventory of office and kitchen supplies.
  • Maintain the cleanliness and organization of the office kitchen, including stocking food and beverages.
  • Assist with meal preparation, particularly for lunches during the workweek.
  • Coordinate maintenance and repairs for both the office and personal residences.
  • Manage personal banking tasks, including check deposits and reconciliation of financial statements.
  • Supervise household staff, including housekeepers and managers.
  • Schedule medical and other appointments for the CEO and family members.
  • Organize and maintain both physical and digital filing systems.
  • Plan and execute company-wide events.
  • Provide administrative support and manage documentation.
  • Assist with personal projects and responsibilities as needed.
  • Be prepared to work flexible hours beyond the standard work schedule.

Essential Qualifications:

  • Exceptional time management and organizational abilities.
  • Strong verbal and written communication skills.
  • Capability to handle sensitive information with confidentiality.
  • Adaptability to shifting priorities.
  • Proficient in Microsoft Office Suite, particularly Excel, Outlook, and MS Teams.
  • Familiarity with personal finance management software, such as Quicken, is advantageous.
  • 1-2 years of relevant experience in a similar role is preferred.
  • Background in hospitality or service industries is a plus.
  • High school diploma or equivalent is required.
  • A valid driver's license and a clean driving record are necessary.
  • Ability to lift items weighing up to 40 pounds.
