Core Responsibilities:
Administrative Oversight:
- Lead and direct the administrative team, including front desk personnel and office coordinators.
- Manage daily office activities, ensuring the availability of supplies, equipment, and facilities.
- Formulate and enforce office protocols and procedures to enhance operational efficiency.
Client Engagement:
- Act as the primary contact for clients, ensuring a professional and inviting atmosphere.
- Handle client inquiries, ensuring prompt and precise communication.
- Organize client meetings, appointments, and follow-up communications.
Financial Management:
- Support billing, invoicing, and accounts receivable functions.
- Oversee the office budget and monitor financial outlays.
- Generate and distribute financial summaries as required.
Human Resource Support:
- Assist in the hiring, onboarding, and training processes for new administrative personnel.
- Maintain employee records and manage benefits administration.
- Coordinate staff schedules, leave requests, and performance evaluations.
Office Coordination:
- Plan and organize office events, meetings, and training programs.
- Ensure adherence to health and safety standards.
- Manage relationships with vendors and negotiate service contracts.
Technology Management:
- Supervise the upkeep and enhancement of office technology, including computers, printers, and software applications.
- Ensure data protection and confidentiality in accordance with company policies.
Qualifications:
- Education: A Bachelor's degree in Business Administration, Management, or a related discipline is preferred.
- Experience: A minimum of 3-5 years in office management, ideally within a professional services environment.
Skills:
- Exceptional organizational and multitasking capabilities.
- Strong interpersonal and communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite) and familiarity with accounting software (e.g., QuickBooks) is advantageous.
