POSITION SUMMARY

The Patient Access Representative serves as the initial point of contact for our practice, delivering exceptional customer service to all patients. This role is essential in accurately gathering and inputting registration details necessary for the effective processing and payment of services provided.

KEY RESPONSIBILITIES

  • Prepare for the next day's appointments by verifying data accuracy, ensuring all required fields and documentation are complete, and confirming insurance eligibility and patient status.
  • Welcome patients in a courteous and professional manner.
  • Handle incoming phone inquiries with professionalism.
  • Review necessary forms and data with patients to maintain accurate electronic medical records (EMR).
  • Collect copayments and outstanding balances appropriately.
  • Execute duties within the practice management system as directed by the Patient Access Supervisor/Manager.
  • Collaborate with other departments to ensure the timely and accurate processing of patient information.
  • Reconcile daily payments with system records, ensuring accurate financial reporting.
  • Assist with patient follow-up requirements during checkout, scheduling necessary appointments and tests.
  • Provide patients with any required handouts or information through the patient portal.
  • Uphold a high standard of confidentiality in compliance with HIPAA regulations.
  • Maintain an organized workspace and replenish supplies as necessary.
  • Travel to different locations as required for coverage.
  • Perform additional duties as assigned.

QUALIFICATIONS

  • High School Diploma is required; further education is preferred.
  • Familiarity with medical insurance processes is advantageous.
  • Outstanding customer service skills are essential.
  • Experience with EMR/PM systems is required.
  • Excellent written, verbal, and interpersonal communication abilities.
  • Strong organizational skills with meticulous attention to detail.
  • Able to think quickly and adapt in a dynamic environment.
  • Capacity to manage multiple tasks in a high-volume setting is crucial.
  • A valid driver's license and reliable transportation for travel are necessary.

ADDITIONAL INFORMATION

  • This role involves a combination of prolonged sitting and standing, repetitive hand movements (typing), occasional bending and twisting, and the ability to lift up to 20 pounds.
