Position Summary

The Patient Access Representative serves as the initial point of contact for our patients, delivering exceptional customer service and ensuring a welcoming atmosphere. This role is crucial in accurately gathering and inputting patient registration data to facilitate seamless processing and payment for services rendered.

Key Responsibilities
  • Prepare next-day appointments to verify data accuracy, ensuring all necessary fields and documentation are complete, eligibility checks are performed, and patient insurance responsibilities are correctly identified.
  • Greet patients in a timely and professional manner.
  • Answer incoming calls with professionalism and courtesy.
  • Review required data and forms with patients to guarantee complete and accurate records in the electronic medical record (EMR) system.
  • Collect copayments and outstanding balances accurately.
  • Execute tasks within OrthoNY's practice management system as directed by the Patient Access Supervisor/Manager.
  • Collaborate with other departments to ensure efficient processing of patient information and clinic throughput.
  • Reconcile daily payments with system batches, ensuring accurate financial reporting and closure of daily financial records.
  • Assist with patient follow-up requirements during checkout, scheduling necessary follow-up appointments and adhering to protocols for any required tests.
  • Distribute necessary handouts to patients, either in print or via the patient portal.
  • Maintain confidentiality and adhere to HIPAA regulations.
  • Keep a tidy and organized workspace, restocking supplies as needed.
  • Travel to other locations as required for coverage.
  • Perform additional duties as assigned.
Qualifications
  • High School Diploma required; some college education preferred.
  • Familiarity with medical insurance processes preferred.
  • Strong customer service skills are essential.
  • Experience with electronic medical records (EMR) and practice management systems is required.
  • Excellent written, verbal, and interpersonal communication skills.
  • Highly organized with meticulous attention to detail.
  • Able to think quickly and adapt in a fast-paced environment.
  • Ability to manage multiple tasks in a high-volume setting is essential.
  • Valid driver's license and reliable transportation for travel as needed.
Additional Information
  • This role involves a combination of prolonged sitting and standing, repetitive hand movements (typing), occasional bending and twisting, and the ability to lift and carry items weighing up to 20 pounds.
