Job Title: Office Administrator

Vaco is seeking a highly organized and detail-oriented Office Administrator to join our team in Phoenix, AZ. This is a fantastic opportunity to work with a top client and be part of a dynamic team.

Responsibilities:
  • Schedule and coordinate meetings, appointments, and events.
  • Manage administrative duties with a high level of detail and organization.
  • Maintain and update client files and records, ensuring they are current and accurate.
  • Answer multi-line telephones in a professional and timely manner.
  • Order and manage office supplies, ensuring adequate inventory levels.
  • Provide support for special projects and initiatives as needed.
  • Handle incoming company inquiries and provide appropriate responses or direct them to relevant stakeholders.
Requirements:
  • Strong written and verbal communication skills.
  • Creative approach to problem-solving, both independently and as part of a team.
  • Ability to maintain a professional manner under stress.
  • Experience with heavy scheduling and management of calendars.
  • Detail-oriented execution of administrative activities, with high attention to detail, organization, and prioritization.
  • Strong technical and computer skills - Word, Excel, Outlook, Adobe, etc. a must.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
