An Office Operations Specialist plays a crucial role in overseeing the daily administrative functions within an organization. This position entails managing phone communications, welcoming guests, organizing meetings, maintaining office supplies, and providing essential support to various departments.
Key Responsibilities
- Manage incoming calls and relay messages with professionalism.
- Welcome and assist visitors, ensuring compliance with security protocols.
- Coordinate with hosts to facilitate visitor compliance with company policies.
- Organize internal and external events for the company.
- Handle the receipt and distribution of mail and packages.
- Maintain an orderly filing system for both physical and digital documents.
- Arrange meetings by securing conference room bookings and preparing the space beforehand.
- Collaborate with vendors to ensure timely procurement of office supplies.
- Plan travel itineraries for staff and guests.
- Ensure the office environment is clean and organized.
- Assist in managing office calendars.
- Perform document filing, copying, scanning, and editing as needed.
- Anticipate and prepare for the administrative needs of the office.
- Oversee maintenance and repairs of office equipment.
- Maintain effective communication with building management regarding any issues.
- Monitor administrative workflows with minimal oversight.
- Procure office supplies and manage kitchen inventory.
- Ensure the kitchen is stocked and orderly, providing snacks and beverages.
- Coordinate food and beverage arrangements for meetings and lunches.
- Support various departments to facilitate smooth operations and communication.

Qualifications
- Strong organizational skills with the ability to manage multiple tasks.
- Ability to handle confidential information with discretion.
- Excellent interpersonal skills and a people-oriented approach.
- Outstanding communication skills, both verbal and written.
- Independent thinker with sound judgment.
- Ability to work efficiently under pressure while maintaining accuracy.
- Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Strong command of English grammar, spelling, and punctuation.
- Typing speed of 40-50 words per minute.
- Familiarity with standard office practices and equipment.
Education and Experience
- Preferred: Associate's or Bachelor's Degree in Business Administration or a related field.
- Minimum of 3 years of administrative experience.
- Experience in the aerospace and defense sector is a plus.
Physical Requirements
- Ability to stand for extended periods as needed.
Security Clearance
- Must be able to obtain and maintain a Secret DoD clearance; U.S. Citizenship is required.
