Job Summary

We are seeking a highly organized and detail-oriented Construction Administrative Assistant to coordinate and assist with the day-to-day essential activities of our company and President. The ideal candidate will have a strong work ethic, exceptional customer service, and be highly organized.

Key Responsibilities
  • Provide administrative support to the President, office manager, project manager, general contractor, and other construction management staff
  • Deliver exceptional customer service by responding to inquiries and requests in a timely and professional manner
  • Act as a point of contact for vendors, subcontractors, and various construction services teams
  • Prepare and process forms, documents, and reports as required
  • Execute clerical and general office duties such as data entry, typing, copying, ordering office supplies, and other administrative tasks
  • Coordinate meeting logistics, deliverables, and travel arrangements
  • Manage and maintain schedules, including booking appointments and scheduling conference calls
  • Collect and track expenses and reports from team members
  • Prepare and submit expense reports and weekly construction schedules
  • Process invoices, payments, and accurately file supporting documentation
  • Assist with RFP response for construction projects
Requirements
  • 3+ years of experience as an Administrative Assistant and/or in Customer Relations (Required)
  • 3+ years of experience as a Construction Administrative Assistant (Preferred)
  • Associate's degree (or equivalent experience) (Preferred)
  • Strong Microsoft Office Suite skills
  • Proficient with QuickBooks Accounting Software
  • Ability to work in a fast-paced office environment
  • Ability to handle different types of tasks and perform effectively
  • Strong organizational skills and attention to detail
  • Strong time management
