Job Overview

AVID Corporation is in search of a meticulous and dedicated professional to fill the role of Administrative Support and Financial Coordinator. This position is crucial for our internal bookkeeping and accounts management operations.

Key Responsibilities

Office Administration Duties

  • Oversee the telephone communication system.
  • Conduct data entry tasks.
  • Handle incoming mail and small package deliveries.
  • Manage outgoing mail and small package shipments along with necessary documentation.
  • Coordinate freight paperwork with logistics partners.
  • Collaborate with production and engineering teams to manage inventory.
  • Organize employee onboarding documents and annual enrollment materials for the company’s medical plan.
  • Ensure office equipment and supplies are maintained effectively.
  • Assist management with various administrative tasks.

Bookkeeping Responsibilities

  • Engage with vendors and customers regarding orders and payments.
  • Prepare and maintain precise financial records.
  • Monitor financial transactions and reconcile reports with records.
  • Maintain both electronic and physical filing systems.
  • Conduct regular reconciliations of general ledger accounts, including:
    • Tracking orders and payments for vendors and customers.
    • Invoicing customers for services and products rendered.
    • Monitoring accounts receivable for timely payments.
    • Preparing purchase orders for inventory management.
    • Tracking incoming inventory and packing slips.
    • Processing checks for incoming and outgoing transactions.
  • Establish bookkeeping policies and procedures as needed.
  • Process employee expense reports and reimbursements.
  • Reconcile taxes and accounts monthly.
  • Prepare balance sheets for accounting purposes.
  • Compile financial reports by collecting, analyzing, and summarizing accounting data.
  • Ensure adherence to federal, state, and local legal requirements.

Job Requirements

  • This role requires onsite presence; remote work is not an option.
  • Education: High school diploma or higher; relevant experience or training will be taken into account.
  • Reliable personal transportation is necessary.
  • Proficiency in MS Office Suite and MS Windows is essential.
  • Maintain confidentiality at all times.
  • Exhibit strong attention to detail.
  • Familiarity with bookkeeping software is preferred.
  • Able to prepare, review, and comprehend financial statements.
  • Ability to work both independently and as part of a team.
  • Comfortable managing large volumes of data.
  • Fluency in English (both verbal and written) is required.
  • Strong written and interpersonal communication skills are essential.
  • Flexibility to adapt to a dynamic business environment.

Physical Requirements

The position necessitates the ability to sit for extended periods and work at a computer, which may involve repetitive motions. Candidates should be able to stand, bend, lift, and move around as needed. Occasional climbing, balancing, stooping, kneeling, or crouching may be required. The role also involves using hands to grasp, move, or assemble small objects, and the ability to see details of objects both near and far.

Preferences

  • Experience with SAP Ariba is advantageous.
  • Familiarity with QuickBooks is a plus.
