Job Summary

Crofton Industries is a leading provider of comprehensive solutions in the commercial and industrial market segments. We are seeking a highly organized and detail-oriented Project Manager Administrator to join our team. The successful candidate will play a crucial role in supporting project managers and project teams by handling various administrative tasks.

Duties and Responsibilities:

  • Maintain accurate and up-to-date project documentation, including project plans, schedules, status reports, and meeting minutes.
  • Ensure all project documentation is easily accessible for the project team.
  • Facilitate effective communication between project team members, stakeholders, and clients.
  • Distribute project-related information, updates, and announcements to the relevant parties.
  • Coordinate meetings, including sending out invitations and preparing meeting agendas.
  • Enter project-related data into project management software or databases.
  • Maintain and update project tracking systems to monitor project progress and key performance indicators.
  • Assist in monitoring project budgets and expenses.
  • Process invoices and expense reports and ensure they are submitted and approved in a timely manner.
  • Coordinate resources, such as personnel, equipment, and materials, to support project needs.
  • Assist in identifying and tracking project risks and issues.
  • Support the development of risk mitigation plans and monitor their progress.
  • Generate regular reports on project status, budget, and other relevant metrics.
  • Prepare presentations and reports for project stakeholders and management.
  • Ensure project deliverables meet quality standards and are in compliance with project requirements.
  • Assist in the development and implementation of quality control processes.
  • Maintain a repository of best practices and lessons learned from previous projects.
  • Use this knowledge to improve project management processes and outcomes.
  • Provide general administrative support to project managers, such as scheduling, travel arrangements, and document formatting.
  • Coordinate project team meetings, workshops, and training sessions.
  • Identify opportunities to improve project management processes and suggest enhancements to increase efficiency and effectiveness.

  • Ability to multitask effectively in a fast-paced environment.

Education and Experience:

  • Minimum of 3 years of experience in this or related position.
  • Experience using Bluebeam, HCSS, Procore, or Sage is desired.

Physical Requirements:

  • Ability to lift up to 15 pounds at a time.
  • Exposure to characteristic construction and marine site dangers.
  • Moving about to accomplish tasks or moving from one worksite to another.
  • Repeating motions that may include the wrists, hands, and/or fingers.
  • Prolonged periods of sitting and work on a computer.
  • Able to traverse all areas of the jobsite; this may require walking, climbing, reaching, bending, crawling, or stretching.
