Job Overview

POSITION SUMMARY

DZL Management Company LLC is a leading entity in the real estate sector, specializing in development and property management. Our diverse portfolio includes a variety of properties such as office spaces, retail establishments, entertainment venues, hospitality services, and co-working environments.

We are in search of a skilled Office Manager to effectively manage and streamline administrative tasks and office operations. This full-time role requires presence in the office from Monday to Friday, 8am to 5pm. The successful candidate will foster a positive work atmosphere, ensuring optimal organizational efficiency, communication, and support.

KEY RESPONSIBILITIES

  1. Manage overall office functions and report directly to management.
  2. Act as the primary contact for employees, tenants, and clients, both via phone and in person.
  3. Assist tenants, property managers, and facilities teams with work order dispatch, tenant communications, conference room reservations, building access, and various administrative tasks.
  4. Provide comprehensive administrative support to staff members.
  5. Handle correspondence, inquiries, and complaints from staff and tenants.
  6. Support executive personnel with meeting scheduling, appointments, and calendar management.
  7. Coordinate travel arrangements for executives, including flights, accommodations, and transportation services.
  8. Prepare documents such as letters, presentations, and reports, and assist with invoice processing.
  9. Manage office supplies and inventory levels.
  10. Help organize company events and activities.
  11. Collaborate with HR to facilitate the onboarding process for new employees.
  12. Maintain office conditions, including kitchen upkeep and organization of conference rooms.
  13. Oversee additional projects and perform other tasks as required.

QUALIFICATIONS:

Experience Required

  • High school diploma or GED; a bachelor's degree is preferred.
  • 3-5 years of relevant experience as an Office Manager, Front Office Manager, or Administrative Assistant.

Skills and Knowledge Required

  1. Understanding of office administration responsibilities, systems, and procedures.
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and design tools like Canva.
  3. Familiarity with email platforms such as Gmail and Outlook.
  4. Exceptional time management abilities and capacity to prioritize tasks effectively.
  5. Strong attention to detail and problem-solving capabilities.
  6. Excellent written and verbal communication skills.
  7. Robust organizational and planning skills.
  8. Professional demeanor and work ethic.

PHYSICAL REQUIREMENTS:

  • Ability to sit at a desk for extended periods while using a computer.
  • Capability to lift items weighing up to 15 pounds.
  • Must be able to commute to the office location. Relocation assistance is not available.
