Job Summary:

DZL Management Company LLC is seeking an experienced Administrative Operations Manager to oversee and coordinate administrative duties and office procedures. This is a full-time, in-office position, Monday through Friday, 8am to 5pm.

Key Responsibilities:

  • Administrative Operations: Oversee general office operations and report to management.
  • First Point of Contact: Serve as the first point of contact for employees, tenants, and clients.
  • Support Services: Support tenants, property managers, and facilities staff in dispatching work orders, tenant communications, conference room booking, building access, and various property administration functions.
  • Administrative Support: Provide general administrative support to employees.
  • Correspondence and Inquiries: Deal with correspondence, complaints, and inquiries from staff and tenants.
  • Executive Support: Support executive staff with scheduling meetings and appointments and managing staff calendars.
  • Travel Arrangements: Arrange travel processes for the owner and executive team, including flights, hotel bookings, and car rentals or driver service.
  • Document Preparation: Prepare letters, presentations, reports, and assist in processing invoices.
  • Office Supplies and Inventory: Order and maintain office supplies and inventory.
  • Company Events: Assist in organizing company events.
  • Onboarding Process: Partner with HR to assist in the onboarding process for new hires.
  • Office Maintenance: Maintain office condition, including maintaining the kitchen area and ensuring the conference room is organized and stocked.
  • Additional Tasks: Manage other projects and perform additional tasks as assigned.

Qualification Requirements:

Experience:

  • High school diploma or GED; bachelor's degree preferred.
  • 3-5 years of proven experience as an Administrative Operations Manager, Front Office Manager, or Administrative Assistant.

Skills and Knowledge:

  • Knowledge of administrative responsibilities, systems, and procedures.
  • Proficiency in Canva and Microsoft Office (Word, Excel, PowerPoint).
  • Proficiency in email platforms such as Gmail and Outlook.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Professional work ethic.

Physical Requirements:

  • Must be able to sit at a desk for prolonged periods while working on a computer.
  • Must be able to lift up to 15 pounds at a time.
  • Must be able to commute to downtown Nashville. No relocation provided.
