We are in search of a proactive Talent Acquisition Coordinator to become a vital part of our Human Resources team at our headquarters. This role is ideal for an energetic, hands-on individual who thrives on delivering outstanding service, collaboration, and coordination with both internal and external stakeholders.

Key Responsibilities:
This position will focus on the following essential areas:

  • Organizing both on-site and virtual interviews across various office locations.
  • Collaborating with Hiring Managers and Administrative Assistants to confirm interview availability and other Talent Acquisition activities.
  • Partnering with candidates to arrange travel, ensuring a seamless experience for candidates, hiring managers, and recruiters through timely actions, follow-ups, high-quality work, and effective communication.
  • Managing and documenting candidate information within the applicant tracking system, including complex calendar management and scheduling of internal and external meetings.
  • Supporting Talent Acquisition leadership in preparing presentations, which may involve creating PowerPoint slides, gathering data, and maintaining trackers as needed.
  • Assisting with the organization and electronic filing of vendor agreements.
  • Taking detailed notes during Talent Acquisition meetings for accountability and tracking purposes.
  • Coordinating the distribution of materials to various offices and recruiting events, ensuring that all materials are tracked and returned.
  • Demonstrating a willingness to assist in any area of Talent Acquisition operations as directed by leadership.

Qualifications:
Desired Skills and Experience:

  • 2-3 years of experience in recruiting coordination, administration, or project management.
  • A proven ability to manage multiple complex workflows and projects effectively.
  • Demonstrated success in building relationships, trust, and influence with candidates and clients, including senior leaders, to guide them through the interview and onboarding processes.
  • Proficiency in Outlook and the MS Office Suite, particularly Excel and PowerPoint.
  • A track record of innovative thinking and maximizing visual presentations.
  • Experience in a fast-paced, collaborative, and dynamic work environment.
  • Ability to anticipate challenges, manage escalations, and collaborate effectively when needed.
  • Exceptional verbal, written, and interpersonal communication skills.
  • Strong time management, project management, organizational, and multitasking skills to excel in a dynamic and fast-paced culture.
  • Experience in the Architecture, Engineering, or Construction industry is preferred.
