Reception and Administrative Coordinator

We are seeking a dedicated and organized administrative professional to enhance our office operations.

Role Overview:

The Reception and Administrative Coordinator will act as the local representative in the office, providing essential support to the Office Manager.

Key Responsibilities:

  • Manage front desk operations, including answering phone calls, welcoming visitors, and overseeing deliveries.
  • Execute administrative tasks such as filing, correspondence, data entry, and processing expense reports.
  • Coordinate the scheduling and preparation of conference rooms to ensure a professional environment.
  • Provide administrative assistance to various Consultants as needed.
  • Support client proposals, data entry, and special projects.
  • Oversee inventory and ordering of office supplies, including invoice reconciliation.
  • Facilitate logistics for documentation sent to clients or vendors.
  • Assist in organizing corporate events.

Working Hours: 8:00 am - 5:00 pm, Monday to Friday, in-office.

Qualifications:

  • High school diploma required; post-secondary education or an Associate's/Bachelor's degree preferred.
  • 1 to 3 years of relevant experience in an administrative or receptionist role, ideally within a professional services context.
  • Proficiency in MS Office Suite (Word, PowerPoint, Excel, Outlook), with knowledge of SAP and Concur being advantageous.
  • Strong verbal and written communication skills.
  • Professional demeanor with the ability to exercise sound judgment and discretion.
  • Attention to detail and reliability.
  • Self-motivated with the capability to manage multiple tasks and meet deadlines.
  • Experience working independently and collaboratively in a fast-paced environment.
  • A sense of humor is appreciated.

Additional Information:

Fluency in English is required; proficiency in at least one additional European or Asian language is preferred. Candidates must have work authorization for their intended country of employment. An online application is necessary for consideration.
