You possess a strong track record in planning and executing events for groups ranging from 5 to 300 attendees.
You have a background in event management and food and beverage services.
You are capable of working independently as well as collaboratively within a team.
Key Responsibilities
- Review event contracts post-signature to plan functions, including guest counts, layouts, and special requirements.
- Conduct site tours as necessary, offering insights into accommodations and resort amenities.
- Monitor important deadlines and follow-up tasks related to payments, menus, and event schedules.
- Assist in coordinating assigned groups, events, and familiarization trips.
- Prepare Group Summaries and actively participate in related review meetings.
- Contribute as a proactive team member in brainstorming sessions, team-building activities, and group events.
- Manage amenities by preparing personalized notes, processing requests promptly, and keeping management informed of amenity deadlines.
- Collaborate with the Events department to finalize Banquet Event Orders (BEO) and Event Checklists ten days prior to events.
- Work with group contacts, the Event Chef, and the Event team to ensure quality food and beverage service.
- Oversee the ordering, receiving, and verification of rental equipment, floral arrangements, decorations, and other event necessities.
- Supervise third-party vendors to ensure compliance with contractual obligations.
- Maintain comprehensive digital files for all events, including contracts, orders, requests, expenses, and reports.
- Process final payments and send invoices with individual tickets to clients post-event.
- Address client and guest concerns professionally to ensure satisfactory resolutions.
- Stay informed about industry trends and developments that may enhance our offerings and profitability.
