Key Responsibilities
  • Review event contracts post-signature and strategize the function details, including guest count, layout, and specific requirements.
  • Conduct site tours as necessary, providing an overview of accommodations and resort amenities.
  • Monitor deadlines and follow-up items related to payments, menus, and event schedules.
  • Assist in coordinating all assigned groups, events, and familiarization trips.
  • Prepare Group Summaries and engage in related review meetings regularly.
  • Contribute as an active team member, assisting with brainstorming sessions, team-building activities, and group events.
  • Manage amenities by preparing personalized and standard note cards, processing requests promptly, and keeping management informed of amenity deadlines.
  • Collaborate with the Events department to finalize Banquet Event Orders (BEO) and Event Checklists ten days prior to the event.
  • Work with group contacts, the Event Chef, and the Event team to ensure quality food and beverage service.
  • Order, receive, and verify rental equipment, floral arrangements, decorations, and other event necessities.
  • Oversee and ensure the fulfillment of contracted work by third-party vendors.
  • Maintain comprehensive computer files for all events, including contracts, BEOs, purchase orders, expense reports, and brochures.
  • Process final payments and send invoices with individual tickets to clients for review after the event.
  • Address client and guest concerns professionally to ensure positive outcomes.
  • Stay informed about industry trends and changes that may impact or enhance the resort's offerings and profitability.
