Your daily responsibilities will involve engaging with various high-level internal stakeholders across different business sectors. You will be required to modify procedures, processes, and methodologies to fulfill assignments in alignment with departmental objectives.
KEY RESPONSIBILITIES
• Oversee intricate and comprehensive calendars for multiple executives.
• Evaluate incoming calls, prioritizing them appropriately while exercising discretion in sharing information.
• Coordinate and manage logistics for both internal and external meetings.
• Organize and facilitate complex domestic and international travel arrangements.
• Handle all aspects of offsite conferences and external events, including catering and transportation logistics.
• Process invoices and travel & expense claims for team members, ensuring adherence to policies and timely processing. Serve as a subject matter expert on policies and procedures.
• Collaborate effectively with the administrative support team, fostering a positive partnership to ensure seamless support.
REQUIREMENTS
• Minimum of 5 years of experience as an Executive Administrative Assistant in Financial Services, Banking, or a large corporate setting.
• Proven experience supporting executives at the Managing Director level or higher.
• Expertise in managing calendars for senior executives and teams.
• Familiarity with Concur for Travel & Expense Management (due to the high volume of client entertainment expenses).
• Proficient in Microsoft Office Suite (Outlook, Teams) and Zoom for coordinating internal meetings.
• Excellent telephone manners and ability to manage competing priorities, particularly in calendar management.
• Discretion and sound judgment in handling confidential matters, with demonstrated experience interacting with senior leadership.
• Strong interpersonal, written, and verbal communication skills.
• A college degree is advantageous.
