Job Summary

Summary:
This role involves a variety of clerical responsibilities, including managing phone communications, bookkeeping, typing, word processing, operating office machinery, and organizing files.

Key Responsibilities:


Act as the first point of contact by managing reception desk operations, which includes answering and directing calls, taking messages, and providing outstanding service to both internal and external clients.

Collaborate closely with executive assistants to facilitate meetings and events by arranging catering services and coordinating with various teams to meet setup requirements.

Assist the Office Manager by compiling reports, creating presentations, and managing a range of administrative tasks.
Train other staff members on work processes, including the use of computer applications.
Handle phone calls, direct inquiries, take messages, and perform errands.
Prepare meeting agendas, attend meetings, and document minutes.
Arrange travel logistics.
Manage work schedules, calendars, and appointments.
Open and distribute incoming mail, respond to correspondence, and prepare outgoing mail.
Compile, copy, sort, and file records of office activities and transactions.
Process and send bills, contracts, policies, invoices, and checks.
Operate office equipment such as photocopiers, scanners, fax machines, voicemail systems, and personal computers.
Type, format, proofread, and edit correspondence, reports, and other documents.
Review files and records to gather information for responding to requests.
Calculate, record, and proofread data and other information.
Prepare documents such as business forms and expense reports.
Maintain and update filing, inventory, mailing, and database systems.
Communicate with customers, employees, and others to address inquiries; disseminate or clarify information; take orders and resolve complaints.
Handle cash transactions; perform basic bookkeeping; complete banking tasks.
Troubleshoot issues with office equipment.
Perform additional duties as assigned.
