Job Overview

Position Summary

This role is essential in supporting the management team and enhancing the experience of residents and their families. The Guest Services Coordinator will handle administrative tasks, maintain resident files, and assist with various operational needs. This position requires flexibility for evening and weekend shifts.

Key Responsibilities

  • Ensure accurate maintenance of resident and staff records, keeping information up-to-date for compliance and audits.
  • Oversee payroll entries, including adjustments for time-off and holiday hours, ensuring accuracy and adherence to policies.
  • Assist in the recruitment process by managing job postings, screening candidates, and coordinating interviews.
  • Facilitate employee benefits enrollment and provide support in understanding available options.
  • Adhere to state regulations related to assisted living, supporting the Wellness Department in compliance monitoring.
  • Maintain confidentiality regarding sensitive employee information and uphold professional standards.
  • Provide comprehensive administrative support, including document preparation, scheduling, and vendor communication.
  • Manage office supplies inventory and coordinate maintenance requests as necessary.
  • Report any safety hazards or concerns to ensure a secure environment for residents and staff.
  • Participate in mandatory training sessions and team meetings.
  • Perform additional duties as required.

Additional Responsibilities

  • Engage in resident-centered activities and programs.
  • Contribute to special projects or committees as assigned.
  • Attend all relevant associate meetings and training sessions.
  • Assist with various tasks related to resident care as needed.

Qualifications

  • High school diploma or equivalent; relevant office experience or education preferred.
  • Proficient in computer applications including Microsoft Office Suite and payroll systems.
  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Ability to understand and apply relevant regulations and standards.
  • Strong interpersonal skills to interact effectively with diverse individuals.
  • Familiarity with office equipment such as copiers and fax machines.
  • Must pass health screenings and background checks as required.
  • Physical demands include lifting up to 40 pounds and performing various physical tasks.
