Business Resources One, a leading landscape design and installation firm, is seeking an experienced Administrative Support professional to join its construction division.

Key Responsibilities:

  • Provide exceptional administrative support to the construction team, including answering phones, taking messages, and assigning tasks.
  • Assist customers with inquiries and concerns, ensuring timely and professional communication.
  • Maintain accurate and up-to-date filing and recordkeeping systems, including vendor price lists and invoices.
  • Set up jobs in the accounting system, including cost codes, payroll codes, and attaching relevant documents.
  • Acquire and organize vendor price lists, maintaining accurate and up-to-date records.
  • Enter vendor invoices and reconcile vendor statements, ensuring timely and accurate payment.
  • Locate or obtain missing invoices, resolving any discrepancies in a timely manner.
  • Reconcile credit card statements, ensuring accuracy and completeness.
  • Perform data entry tasks, including reviewing timesheets and identifying errors.
  • Obtain Dig-Safe tickets, recording numbers and start dates.
  • Conduct research and provide administrative support as needed to advance the company's goals.

Requirements:

  • Sufficient education and relevant experience in administrative support or a related field.
  • Good working knowledge of basic computer applications and technology, including QuickBooks and landscape industry-specific software.
  • Ability to represent the company in a professional manner, both verbally and in writing.
  • Strong communication and organizational skills, with attention to detail and accuracy.
  • Experience working with accounts payable and invoice processing, as well as construction office or similar experience.
