Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Cape Cod Hospital. The successful candidate will provide administrative support in an efficient, timely, and professional manner to our medical practice.

Key Responsibilities
  • Provide excellent service to internal and external customers while maintaining an efficient flow of daily patient schedule and front office operations.
  • Answer the phone in a timely, polite, and professional manner, directing calls to appropriate persons and taking accurate messages within the electronic medical record.
  • Check-in/register new and existing patients in the electronic medical record, verifying demographic information, insurance authorization, and collecting co-pays.
  • Schedule and reschedule patient appointments and/or consult requests in person or by telephone in the electronic medical record system in accordance with scheduling protocols.
  • Maintain physician's daily appointment schedule and prepare charts for the following day's schedule.
  • Edit clinicians' schedules as needed to include time off, sick time, vacation, in-service, and meeting time.
  • Process cancellations and no-show appointments, and notify clinician of change in schedule.
  • Open and distribute mail to appropriate staff mailboxes, physicians, and practice manager.
  • Check-out patients and schedule any follow-up appointments necessary, coordinating orders for laboratory, radiology, other physician's referrals, etc.
Requirements
  • Ability to read, write, and communicate in English.
  • High school graduate or equivalent.
  • Strong communication and interpersonal skills.
  • Experience with current office technology, proficient with computer office applications (Electronic Medical/Health Records, MS Office, etc.) preferred.
  • Experience in an office setting with at least 1 year experience preferred.
  • Knowledge of various insurance authorization/referral requirements preferred.
  • Medical Terminology knowledge preferred.
  • Typing skills at 30 WPM preferred.
Schedule Details

40 hours per week, Monday-Friday, 9am-5pm, no weekends and no holidays.
